5 tasks an AI assistant can take off a salon owner’s plate
Running a salon means answering the same messages all day while your hands are busy with a client. An AI assistant can take care of the routine questions and admin so you and your team can focus on the chair. Here are five tasks that suit an assistant well, and what to keep for people.
01Answering the questions you hear every day
“Are you open Sunday?” “How much is a balayage?” “Do you do kids’ cuts?” “Is there parking?” Most messages are variations of a few dozen questions. An assistant that answers from your own approved price list, hours and policies can reply in seconds, at any time of day, instead of the message waiting until your next break.
02Taking booking requests
An assistant can collect what you need for a booking: the service, preferred stylist, day and time, and contact details. Connected to your booking system, it can offer real open slots. If it isn’t connected, it should collect the request and say clearly that someone will confirm it, so nobody turns up for an appointment that was never in the book.
03Reminders and confirmations
Missed appointments cost a salon real money. Friendly reminders a day or two before, with an easy way to confirm or move the appointment, help clients keep their slot and give you a chance to fill gaps. Keep the tone warm, and make it easy to reply to a person.
04Explaining policies kindly and consistently
Deposits, cancellation windows, late arrivals and patch tests for colour are easy to forget and awkward to explain at the desk. An assistant can explain them the same way every time, politely, using your exact wording. That makes things fairer for clients and saves your team from repeating them.
05Inviting clients back
Most services have a natural rhythm: a root touch-up every few weeks, a trim every couple of months. With the client’s permission, an assistant can send a friendly note when they’re due and offer a few times. Only message people who have agreed to hear from you, and make it easy to stop.
✓Keep these in human hands
- Complaints and unhappy clients: pass them to the owner or manager quickly, with the full conversation.
- Health and allergy questions: always a qualified person.
- Refunds, discounts and exceptions: the assistant should never promise them.
- Anything it isn’t sure about: “Let me get someone who can help” is always a good answer.
Start small. Pick one task, usually answering common questions, write a short knowledge sheet for it, and review the conversations every week for the first month. Add more tasks once it’s working well. Before you choose a tool, run through our seven safety questions.
